As part of our continued growth, we are seeking an experienced Office Manager to oversee operations and ensure seamless service delivery across all business functions.
Role Overview
This is a full-time position responsible for managing office administration, coordinating logistics and fleet scheduling, supporting warehouse and yard operations, overseeing customer bookings, and supervising staff. The role is ideal for a proactive professional who excels in a fast-paced environment and can effectively manage teams, systems, and operational priorities while maintaining high standards of service and compliance.
Key Responsibilities
- Oversee and manage daily office operations to ensure efficient administrative support for waste collection, sorting, processing, transport, and dispatch functions.
- Coordinate and supervise administrative staff, including task allocation, workflow management, attendance monitoring, and performance oversight to maintain operational efficiency.
- Develop, implement, and continuously improve office systems and procedures to enhance service coordination, document control, and overall business efficiency.
- Maintain accurate operational records, including material intake/output, weighbridge data, dispatch logs, transport schedules, and stock movement documentation.
- Facilitate effective communication between office personnel, yard staff, drivers, and management to ensure seamless daily operations and timely material movement.
- Prepare and analyse operational reports on recycling volumes, service performance, customer requests, and administrative outputs for management decision-making.
- Coordinate waste collection and transport scheduling, ensuring timely service delivery to commercial and industrial clients.
- Manage administrative documentation and financial processes, including invoices, purchase orders, contracts, supplier records, and billing support.
- Ensure compliance with workplace health, safety, and environmental regulations, maintaining accurate records such as incident reports, training logs, and compliance registers.
- Provide high-level administrative support to senior management, including service planning, workforce coordination, performance tracking, and continuous process improvement initiatives.
Skills & Experience
- Experience in office management, operations management, or administration leadership.
- Strong organisational and multitasking abilities.
- Experience supervising staff across different functions.
- Experience processing online orders and coordinating with delivery or courier partners.
- A minimum of 3-5 years of office management experience is required for this position.
- Familiarity with accounting or inventory systems (e.g., MYOB, Xero, Unleashed) is an advantage.
- Strong communication and problem‑solving skills.
- Ability to work independently and take ownership of operational outcomes.
