About the Role
Gracie Barra Caringbah is seeking an experienced Office Manager to oversee the administrative, operational and customer service functions of the school. This role is central to the smooth day-to-day operation of the business and requires strong organisational skills, effective communication and the ability to manage multiple priorities in a fast-paced environment.
The successful candidate will support students, parents and staff, ensure efficient office processes, coordinate operational activities and contribute to the ongoing improvement of internal systems while maintaining high service standards.
Key Responsibilities
• Manage and review daily office operations, contributing to the planning and continuous improvement of administrative and customer service processes.
• Coordinate staff schedules in line with student attendance, class timetables and operational needs.
• Support recruitment, onboarding, supervision and ongoing performance support of administrative staff and support team members.
• Manage student administration, including enrolments, memberships, contracts, cancellations and related enquiries.
• Maintain accurate records across administrative systems, including student data and documentation.
• Act as the main point of contact for students and parents, handling enquiries, feedback and issues professionally.
• Provide customer service via face-to-face interaction, phone and email.
• Coordinate communication with students and families through email, SMS and social media platforms.
• Assist with the planning and coordination of internal events, ceremonies and community activities throughout the year.
• Manage office supplies, equipment and school resources.
• Oversee uniform stock, including ordering and sales of merchandise.
• Ensure compliance with workplace health and safety practices, relevant legislation and internal policies.
• Liaise with external providers when required to support administrative operations.
Skills and Experience Required
• Proven experience in office administration, office management or a similar role.
• Strong organisational and time management skills.
• Ability to manage competing priorities in a busy, client-facing environment.
• Excellent communication and customer service skills.
• Experience managing records, systems and confidential information.
• Confidence using digital systems and office software.
• Understanding of workplace processes and basic compliance requirements.
Desirable (but not essential)
• Experience with staff scheduling or team coordination.
• Experience supporting recruitment or onboarding processes.
• Familiarity with communication tools (e.g. Canva).
• Ability to communicate in Portuguese.
