Private Listing Altona VIC 3018

Permanent Full time

Key points we found

  • Manage and maintain accurate stock levels across raw materials, WIP, and finished goods.
  • Be the first point of contact for customer enquiries and manage customer orders.
  • Collaborate with manufacturing, warehousing, finance, and logistics teams to ensure alignment.

Are you a detail-driven operations professional who loves keeping things running smoothly and genuinely cares about the planet?

We are looking for an Inventory Controller & Customer Service Coordinator to join our growing team. We are passionate about making an impact, constantly looking for ways to innovate and create new solutions. For us, 'close enough' is never 'good enough' after all, we only have one planet.

This is a critical, end-to-end role from managing stock across the warehouse and logistics coordination through to being the first friendly voice customers hear. You'll work across two core business units and report directly to the CEO.

What you'll be doing

Inventory management

  1. Manage and maintain accurate stock levels across raw materials, WIP, and finished goods at Altona site
  2. Track, order and coordinate receipt of raw materials on a regular frequency
  3. Coordinate end-of-month and year-end stock takes and lead reconciliation processes
  4. Receive, track, and reconcile customer purchase orders, ensuring alignment with production and delivery data
  5. Raise and issue invoices accurately and on time based on reconciled POs and delivery schedules
  6. Lead weekly planning meetings and participate in continuous improvement activities
  7. Identify opportunities for inventory optimisation, waste reduction, and improved storage practices
  8. Monitor inventory systems and maintain up-to-date reporting to support decision-making

Customer experience

  1. Be the first point of contact for customer enquiries via phone, email, and website
  2. Take and process customer orders, communicate payment terms, and coordinate delivery with the warehouse
  3. Organise customer deliveries and manage sample dispatch
  4. Listen, respond, and build lasting relationships — resolving complaints and escalating where needed
  5. Follow up on outstanding accounts and keep detailed records of all customer interactions

Cross-functional collaboration

  1. Work closely with manufacturing, warehousing, finance, and logistics teams to ensure alignment
  2. Support general administration across the broader team
  3. Communicate regularly with interstate supply chain teams

What we're looking for

  1. Demonstrated experience in inventory or supply chain management, ideally in manufacturing or distribution
  2. Experience managing stock across multiple sites or decentralised systems (highly desirable)
  3. Strong customer service skills with a proven track record of managing external client relationships
  4. Confident processing and reconciling POs and raising accurate invoices
  5. Proficiency in MS Office and inventory management or accounting systems — ERP experience a plus
  6. Experience with Katana Cloud Inventory Software (desirable)
  7. High attention to detail and excellent organisational skills
  8. Solutions-oriented mindset with the ability to juggle competing priorities under pressure
  9. Ability to work both autonomously and collaboratively across teams

Why join us?

By joining us, you will be part of a purpose driven company making a real impact. This is more than an inventory role. You'll have real ownership of an important cross-functional role, working across two business units with direct access to senior leadership.

If you bring integrity, initiative, and a passion for doing things properly, we would love to hear from you.
